Technical Assistant,Operations

Key accountabilities:

  • Assist Marine & Technical Superintendent in deck & engine requisition processing, monitoring and ensuring supply of stores, fresh water & other items on board. Scanning, checking for disputes, processing & authorizing Work Order Invoices.
  • Monitor the Class survey schedule, follow up the class survey status and arrange class survey in consultation with the Manager, Technical and Superintendent, Technical.
  • Downloading Class Survey Status and report every end of month and send to respective vessels.
  • Assist Manager, Technical and Superintendent, Technical in monitoring of sailing visit, report and follow up action.
  • Collate and update monthly deck/engine department and noon report.
  • Monitor & assist annual servicing of portable & fixed LSA & FFA – fire extinguishers, L/rafts, SCBA sets, EEBD sets, L/boat & Rescue boat davit annual test, EPIRB & VDR annual performance test, L/boat air bottle, BA compressor air quality test etc.
  • In-charge of ship’s drawing & plans. Upkeep & update drawing & plans inventory. Ordering & Liaising for Charts, Publications and Log Books.
  • Flag Change/Assisting for New vessel delivery/DSL Renewal. In charge of all vessels Order of Druggist & pest control, SSCEC.
  • In-charge of fuel, lube oil sample analysis – to ensure sample landed in time, maintain record in fleet management system and send test result to vessels.
  • Assist in updating and monitoring of trading and equipment certificate.
  • Assist Superintendent, Technical in arranging occasional survey (as required), budget planning and monitoring, docking report compilation and KPI.
  • Updating Vessel particulars, Q88, officer Matrix in OCIMF website twice a month, class survey status and record.
  • Updating SIRE, BIRE, PSC & FSC database. Update Superintendents’ Ship visits record. Send out reminders on Superintendents for OPEX updates.
  • Updating Marine Operation files.
  • Dispatch documents, mail, stationery, Notice to Mariner and other items (excluding stores & spares) to vessels in coordination logistics.
  • Assist in Management of LO / cooling water analysis.
  • Collection, dispatch certificates, documents, mail, stationery to vessels.
  • Track and monitor off-landed spares parts, arrange for servicing, and deliver to the vessels as required.
  • Assist Superintendent in spare parts entry, raising requisition, update defect / damage, follow up Purchase order, Work order, Material receipt and Invoices in Fleet Management System.
  • Assist Superintendents in approving the invoices.
  • Filing of technical documentation as received from the vessels / various other parties.
  • Taking minutes for Company operation meetings, various committee meetings & other meetings.
  • Routine & Monthly reports to charterer, management, and department head as required.
  • Learning operation and develop / customize new / existing software to improve operational efficiency.
  • Any other, as relevant and required, delegated by Department head or immediate superior.
  • Act as document controller for company Integrated Management System.

Essential Skills:

  • Preferably to have COC or Diploma/Degree in any Marine related disciplines with 1 year experience.
  • Meticulous, ability to multi task and a good team player.
  • Able to work in a fast paced environment.
  • Good Interpersonal and communication skills.
  • Computer literate.
  • Can adapt with the new system and technology.
